For most of my years in practice, my CPD record was a drawer full of certificates and a spreadsheet I updated twice a year in a mild panic.

Every therapist I know has some version of the same system. Nobody enjoys it, and nobody feels quite on top of it.

So I built the thing I could not find.

There is an AI reflection assistant built in: a space to think a piece of practice through and turn it into CPD evidence. I have been deliberate about how it works, and you can read exactly what it does and does not see below. You can also ignore it entirely — every other part of the app works without it.

Your data

Therapists ask harder questions about data than most people, and rightly so. Here are straight answers.

Where it lives

Your account and everything you record are held on UK-based servers.

The reflection assistant — yes, it is AI, and here is exactly how it works

It does not run on ChatGPT, Claude, or any other third-party AI service. It runs on a machine I own, in the UK, so nothing you write is sent to an outside AI company to process or to train on. Before anything reaches the model, a guardrail layer blocks client-identifiable detail — postcodes, NHS numbers, dates of birth, phone numbers, email addresses, and a name paired with an age or a location. And your conversations are not stored as text: the record kept of each exchange holds only a cryptographic fingerprint, which cannot be turned back into what you wrote.

If you would rather not use it at all, don’t. Everything else in the app works without it.

It is not a client records system

Hear4U Therapist CPD is for your professional development record. The reflection assistant is built to block client-identifiable detail before it reaches the model — but the rest of the app is an ordinary set of forms, and it will not stop you typing whatever you like into a CPD note. So please apply the same judgement you would in your own case notes: keep clients unidentifiable.

Who can see what

I run this service, so, like anyone operating a service, I have administrative access to the database. I do not read people’s records and would have no reason to — but I would rather tell you that plainly than imply a technical barrier that does not exist. Your reflection conversations are the exception: they genuinely are not stored in a readable form, by anyone, including me.

Your choices

Two-factor authentication is available if you want it, and off by default if you do not. You can delete your account and everything in it yourself, at any time, from inside the app.

Registered and assessed

Hear4U Counselling Ltd is registered with the Information Commissioner’s Office (registration ZC178330), and a Data Protection Impact Assessment has been carried out for the app and is kept under review.

Who built it

I am Oliver Pool, a BACP-registered counsellor and the founder of Hear4U Counselling Ltd. I built this because I needed it myself. Around thirty practitioners have signed up in the first fortnight, which has been a genuine pleasure to watch.

It is being shaped by the practitioners using it. If something about it irritates you, I would genuinely like to know.

Questions

Is it really free?

Yes, while it is in beta. Everything is unlocked, there is no card required, and you will not be charged. It will become a paid subscription once it leaves testing, and I will give plenty of notice before that happens.

Do I need to download anything?

No. It runs in any web browser on a phone, tablet or computer. Mobile apps for iPhone and Android are on their way.

Does it work if I am not with BACP?

Yes. It is designed around BACP CPD requirements and works just as well for UKCP, NCPS, BABCP, BPS, HCPC and COSCA members — and for anyone holding more than one registration.

What happens to my records when the beta ends?

They stay. If you carry on using the app your CPD history comes with you — you will not lose your work or have to start again. If you decide not to continue, you can export your full record as a PDF first, so nothing you have logged is ever held hostage. And if you would rather it was all gone, you can delete your account and everything in it yourself at any time.

How much will it cost later?

The price is not fixed yet, and I would rather set it with the help of the people using it than guess. Beta users will get plenty of notice and the best rate I offer.

Is it a replacement for supervision?

No, and it is not designed to be. It is a record-keeping and reflection tool. The reflection assistant supports your own thinking; it does not supervise you, diagnose anything, or give clinical advice.

Can I use it for client notes?

No. Please do not. It is for your professional development record only.
